To get to the settings in Internet Explorer click on Tools and then Options. This will bring up the internet settings. Click on the Security Tab. Once there click on the Trusted Sites and then click the sites button.

In the screen that pops up, make sure there is no check mark inside the “Require server verification” box and then type *.mckimcreed.com into the box labeled “Add this website to the zone:” and click the Add button. You will see it move to the bottom box labeled Websites. Click on the close button to get out of this screen.

Back at the settings screen click on the “Custom Level” button. On this screen scroll down to “Download signed ActiveX controls” and choose Enable. DO the same for the next one labeled “Download unsigned ActiveX controls.” If you are using Internet Explorer 8 you may also need to choose enable for Initialize and script ActiveX controls not marked as safe for scripting.

Click OK on this screen and OK on the Internet Options screen to get out. You should now be able to get into bst by using your email address as your login and your normal password.

Once you perform any calendar options the invitation will only be available from within the Outlook calendar. Go to your calendar and double click to open the meeting detail to connect to the meeting.

*** If you have not used Live Meeting before, click on “check your system.”

***Using this link will save time when it comes time for your meeting by installing the necessary software prior to the meeting. Clicking on the check your system link will open you up to a test live meeting.

Join the Meeting

To join the meeting click on “Join the meeting.”

Clicking on the meeting will open the Live Meeting software. Depending on the options and type of meeting you will need audio equipment. To be able to hear the meeting you will need speaker or headphones.

To be able to speak and be heard you will need a microphone. The McKim & Creed laptops have built in microphones that can be used. The desktops do not have microphones. If you are using Live Meeting often you may want to get a headset with headphone and a microphone. There are plenty of options available.

*** Once the Live Meeting software opens up you will have to un-mute the microphone by clicking on the Microphone in the upper right corner.

The Tools

Right Side Toolbar

There are 2 toolbars at the top of the interface.

Speaker – turns the speaker that allows you to hear on and off
Microphone – when there is a red circle with the line through it the microphone is muted. To allow others to hear you, click on the microphone.
Webcam – if there is a webcam attached you can turn it on and off by clicking the webcam icon.
Handouts – If the presenter has files available for download they will be in the handouts section.
Notepad – This is a notepad. If the presenter allows you to take notes this is where you will do so. These notes are available and accessible by everyone.
Feedback – Allows you to provide feedback:

Left Side Toolbar

Attendees – Allows you to see who is in the meeting, what there feedback is, who the presenter(s) is, and who is muted.

Voice and Video – Allows you to set audio and video settings. Also allows you to bring up another person’s video is they are using a webcam.

Q&A – The question and answer manager is used to ask questions. This is useful to ask questions during a meeting without interrupting the presenter. It is also used when the attendee is unable to use the microphone.

Meeting – allows you to view meeting info and exit the meeting.

Share a Program

To share just a program click on Content è Share è Share a Program è The program you wish to share.

Once you have shared a program it available for others to see. You will have a menu at the top with some options available to you.

The arrow stops the sharing and returns you back to the Live Meeting program.

The Pause button pauses the sharing of your desktop.

This button allows others to control your desktop.

Share the Entire Desktop

To Share the entire desktop click on Content è Share è Share your Desktop è All

This will share your entire desktop. You will get the menu at the top of the screen as you get when sharing just a program.

Share Part of Your Desktop

To share just a part of your desktop click on Content è Share è Share your Desktop è Selected Area

This will bring up the Sharing Frame. Whatever is in that frame will be viewable by the attendees. To resize the frame place the mouse over a corner until it turns into a 2 sided arrow. Click and hold the left mouse button and drag the window to the desired size. Let go of the mouse button.

Note:
If you are using multiple monitors only the Primary monitor will be shared. This goes for all sharing, so if you share just a program and move it to the extended desktop the attendees will not be able to see the program.

You will need to resize this frame by placing the mousse over the corner, holding down the left mouse button and dragging to the size you want.

Once you have the size you want Click on the window in the upper left corner and click take snapshot.

This will take a snapshot of whatever is contained in this frame.

Once the window opens type in the web address of the page you wish to open. Click on Verify Web Page. The Web Page Check window will open and show you that the web page is valid.

Click on Create Web Page to create the page in the Attendee’s window.

Remember that after the attendee sees the page they can click on whatever they want and not what you click on.

This will open a create poll window where you will enter your question and responses. After you have created your questions and responses click OK to create the poll.

When you first create the poll the results will be hidden from the end user.

There are tools you can use at the bottom of the page when polling.

Each section is separated by a |. The first section will allow you to change the ende user view allowing them to see or not see results. The next section will open and close the poll. The last section will allow you to edit and clear the polls.

To use the whiteboard Click on Content è Share è Whiteboard

Once the white board is open there are a number of tools you can use to edit the white board for others to see.

The tools from left to right are:

Select Tool – allows you to select item on the white board
Pointer – acts like a laser pointer, the end user can only see this when you click on the mouse button
Text Tool – Allows you to type text onto the screen. Click on it and it will allow you to change the font
Drawing Tools – These are tools used to draw. Click on the arrow and it will give you multiple options

Color Picker – Allows you to pick the colors that your drawing tool will print
Highlighter – acts like a highlighter allowing you to highlight any part of the whiteboard
Stamp Tool – Give you three options to stamp onto the whiteboard

Clear Tool – erases the whiteboard

To open the notepad click on the notepad icon in the top right.

Just type into the window to add notes. You could also assign someone the tasks of taking notes. The notes window will continue to be updated as notes are added even if the notes window is closed.

If you click on the Handouts Icon in the upper right it will open the handouts window.

To upload files click on Upload

Choose the files you want the others to be able to download and click open.

This window will list the files that have been uploaded. For the end users to download the files they have to put a check mark next to each of the files they want to download and click download.

You can also delete files you have uploaded from this window as well. There is option you can set to allow for users to be able to upload files as well. To see how to allow users to upload files see the blog post labeled Attendee Permissions.
